Question 1

What is meetAlice and what does Alice actually do?

Accepted Answer

MeetAlice is a virtual assistant designed for busy parents. Instead of trying to keep everything in your head — school newsletters, class WhatsApp messages, club schedules, permission slips — you forward it all to Alice, and she reads it, sorts it, and turns it into a calm daily plan.

Alice extracts the events (trips, parents' evening, swimming lessons), the deadlines (payment closes tomorrow, costume needed Wednesday), the to-dos and "what to bring" items, and organises them by child and by day. You get gentle ahead-of-time nudges so nothing slips through the cracks, and everything's always linked back to the original message so you can check it yourself.

The whole point is to lift the **mental load** — the invisible work of planning, remembering and anticipating — so it's not all in your head anymore.

Question 2

Who is it for: just me, or my whole family?

Accepted Answer

MeetAlice is for **your whole family**. When you create a family, you can invite your partner or other co-parents to join. Everyone in the family shares the same calendar, events, reminders and family information.

Each person gets their own sign-in and sees the same information, kept in sync across everyone's phones. This means you're not the sole keeper of the family schedule anymore — both (or all) parents can see what's coming up, what needs to be brought to school, and when payments are due.

One subscription covers everyone in your household — all the adults and all the children — so there's no extra charge to add family members.

Question 3

How much does it cost? Is there a free trial?

Accepted Answer

MeetAlice is **free for 60 days**, then **£4.99 a month per family** after that. One subscription covers everyone in your household — there's no per-person charge, and there are no tiers or locked features.

You're billed monthly through the **App Store** (iPhone) or **Google Play** (Android), and you can cancel anytime. If you cancel, your subscription continues until the end of the current billing period, and you won't be charged again.

You're reminded before your free trial ends, so there are no surprise charges.

Question 4

Which phones does it work on (iPhone and Android)?

Accepted Answer

MeetAlice works on:

- **iPhone**: iOS 15.1 and later
- **Android**: Android 7.0 and later

The app is available to download from the **App Store** (for iPhone) and **Google Play** (for Android). Once you've signed up, you can use it on any device that meets those requirements.

Question 5

How do I add my partner or other family members?

Accepted Answer

To add someone to your family:

1. Open the MeetAlice app and go to the **Family** tab.
2. Tap **Invite family member**.
3. Enter their **email address** and send the invite.

They'll receive an email with a **6-digit invite code**. To join:

1. Download the MeetAlice app from the **App Store** or **Google Play**.
2. Open the app and tap **"I've been invited to a family"**.
3. Enter the invite code from the email, and sign in.

Once they've joined, they'll see the same calendar, events and reminders as you — everything stays in sync.

Question 6

What happens if my partner already set up their own family?

Accepted Answer

If your partner has already created a separate MeetAlice family, you can't currently merge two families into one. We're working on making this smoother.

For now, the best approach is to **pick one family** to use going forward, and have the other person **leave their family** and **accept an invite** to join the family you're keeping.

If you need help with this, drop us a line at [support@quidvista.com](mailto:support@quidvista.com) and we'll talk you through it.

Question 7

How does Alice turn emails into diary events, reminders and to-dos?

Accepted Answer

Alice uses **AI processing** (powered by OpenAI) to read the emails and messages you forward to her. She looks for dates, deadlines, payment requests, event details and "what to bring" items, and extracts them into structured information.

For example, if you forward a school newsletter about a trip on 15 March with a £12.50 payment due by 10 March and a reminder to bring a packed lunch, Alice will:

- Create a **calendar event** for 15 March (the trip)
- Add a **payment reminder** for 10 March (£12.50 due)
- Add a **to-do**: "bring packed lunch"
- Colour-code it by the child it's for

Every item is always **linked back to the original message**, so you can tap through and check it yourself. Alice is a helper, not a replacement for reading important communications — you should always verify anything that matters.

Question 8

What kinds of messages work best?

Accepted Answer

Alice works best with **plain-text or structured messages** that contain event details, dates and deadlines. Examples include:

- School newsletters and class emails
- Club schedules and sports fixture lists
- Appointment confirmations (doctor, dentist, optician)
- Permission slips and trip letters (PDFs work too)
- Birthday party invites
- Parents' evening booking confirmations

**PDFs are supported** — if you forward an email with an attached PDF letter, Alice will read it.

Messages that are mostly images (e.g. a photo of a poster) won't work as well, because Alice can't extract text from images. For those, it's better to share a screenshot via the phone share sheet (see below) so you have a record, but you'll need to add the details yourself.

Question 9

Can I share a WhatsApp message, SMS or screenshot to Alice from my phone?

Accepted Answer

Yes! You can share messages and screenshots directly to Alice using your phone's **share sheet**:

### On iPhone (iOS)

1. Open the WhatsApp message, SMS or screenshot you want to share.
2. Tap the **Share** button (the square with an arrow pointing up).
3. Scroll down and select **MeetAlice** from the list of apps.
4. Alice will save it and process it.

### On Android

1. Open the WhatsApp message, SMS or screenshot.
2. Tap the **Share** button (usually three dots or a share icon).
3. Select **MeetAlice** from the list of apps.
4. Alice will save it and process it.

Shared content works the same way as forwarded emails — Alice will read it and extract any events, deadlines or to-dos. It will appear in your Inbox with a note of how it arrived.

Question 10

What does "How Alice built this" mean, and how do I see the original message?

Accepted Answer

Every event, reminder or to-do in MeetAlice is linked back to **the original message it came from**. This lets you check Alice's work and see the full context.

In the app, you'll see a small note saying **"How Alice built this"** or a link icon. Tap it, and Alice will:

- Show you **the original email** (or message or attachment) she read
- Explain **what she extracted** from it (events, payments, to-dos)
- Let you **open the original** in your email app if you need to

This is one of the most important features — it means you're never relying on Alice alone. You can always verify what she's done and read the source yourself.

Question 11

What if Alice gets something wrong? How do I edit or undo it?

Accepted Answer

Alice is helpful but not perfect — she can misread dates, miss items, or mis-attribute something to the wrong child. If that happens, you can:

- **Edit an event or reminder**: tap it in your calendar or Today view, and edit the details (date, time, child, description).
- **Delete something**: if Alice created something by mistake, tap it and delete it.
- **Approve or reject senders**: if Alice has held a message from a new sender, you can tap "Approve" or "Ignore" to tell her whether to trust that sender in future.

Alice improves as she learns which senders you trust and how your family is set up, but **you remain in control** and can always correct her.

Question 12

Why is Alice asking me to approve a sender?

Accepted Answer

The first time a **new sender** emails your family address, Alice will hold it and ask you to confirm whether she should trust them.

This is a safety measure: we don't want Alice to automatically act on emails from unknown sources — spam, marketing, or someone who shouldn't have your family address.

Once you **approve a sender** (for example your child's school or a club), Alice will trust all future messages from that sender and process them automatically. If you tap **"Ignore"**, Alice will skip that sender in future.

You can always change this later by going to your family settings and managing your approved senders.

Question 13

What is my family's Alice email address and where do I find it?

Accepted Answer

Your family has a **dedicated email address** where you forward messages for Alice to read. It looks like:

**yourfamily@meetalice.io**

To find it:

1. Open the MeetAlice app.
2. Go to the **Family** tab.
3. Your family address is shown at the top.

You can tap to copy it, then set up forwarding in your email provider (see the guides below).

Question 14

How do I auto-forward school or club emails from Gmail?

Accepted Answer

You can set up Gmail to automatically forward messages from specific senders (like your child's school) to your family's Alice address.

### Step 1: Enable forwarding

1. Open **Gmail** on a computer (this can't be done in the mobile app).
2. Click the **gear icon** (⚙️) in the top right, then **"See all settings"**.
3. Go to the **"Forwarding and POP/IMAP"** tab.
4. Click **"Add a forwarding address"**.
5. Enter your **family's Alice address** (e.g. yourfamily@meetalice.io).
6. Click **"Next"**, then **"Proceed"**.
7. Gmail will send a **verification email** to your Alice address. Open the MeetAlice app and go to your **Inbox** — you should see the verification message. Tap the link in it (or copy the code and paste it back into Gmail).
8. Once verified, go back to Gmail settings and choose **"Forward a copy of incoming mail"** and select your Alice address. Save changes.

### Step 2: Create a filter so only certain senders are forwarded

(If you want to forward **everything**, you can skip this step — but we recommend filtering by sender so Alice only gets relevant messages.)

1. In Gmail, click the **search bar** at the top and type the sender's email address (e.g. office@yourchildsschool.org).
2. Click the **filter icon** (⋮) on the right of the search bar, then **"Create filter"**.
3. Tick **"Forward it to"** and choose your Alice address.
4. Tick **"Also apply filter to matching conversations"** if you want to forward existing messages.
5. Click **"Create filter"**.

Repeat for any other senders you want to forward (other schools, clubs, etc.).

Question 15

How do I do it in Outlook / Hotmail / Microsoft 365?

Accepted Answer

To forward messages to Alice from **Outlook.com, Hotmail or Microsoft 365** (personal accounts):

1. Open **Outlook** on the web (outlook.com or outlook.office.com).
2. Click the **gear icon** (⚙️) in the top right, then **"View all Outlook settings"**.
3. Go to **Mail → Forwarding**.
4. Tick **"Enable forwarding"**.
5. Enter your **family's Alice address** (e.g. yourfamily@meetalice.io).
6. Choose whether to keep a copy of forwarded messages in your inbox (recommended).
7. Click **"Save"**.

This will forward **all incoming mail**. To forward only specific senders, set up a **rule** instead:

1. In Outlook settings, go to **Mail → Rules**.
2. Click **"Add new rule"**.
3. Give it a name (e.g. "Forward school emails to Alice").
4. Under **"Add a condition"**, choose **"From"** and enter the sender's email address.
5. Under **"Add an action"**, choose **"Forward to"** and enter your Alice address.
6. Click **"Save"**.

Question 16

How do I do it in iCloud Mail?

Accepted Answer

To forward messages from **iCloud Mail**:

1. Open **iCloud.com** on a computer and sign in.
2. Go to **Mail**.
3. Click the **gear icon** (⚙️) in the sidebar, then **"Rules"**.
4. Click **"Add a Rule"**.
5. Give it a name (e.g. "Forward to Alice").
6. Under **"If a message"**, choose **"is from"** and enter the sender's email address (e.g. your child's school).
7. Under **"Then"**, choose **"Forward to"** and enter your **family's Alice address**.
8. Click **"Done"**.

Repeat for any other senders you want to forward to Alice.

Note: iCloud Mail doesn't support a global forwarding option — you need to set up rules for each sender.

Question 17

How do I do it in Yahoo and other providers?

Accepted Answer

Most email providers support forwarding, though the exact steps vary. The general approach is:

1. Sign in to your email provider on a computer (mobile apps often don't have forwarding settings).
2. Go to **Settings** or **Preferences**.
3. Look for **"Forwarding"**, **"Filters"**, or **"Rules"**.
4. Add your **family's Alice address** as a forwarding destination.
5. (Optional) Set up a filter or rule to forward only messages from specific senders (recommended).

### Yahoo Mail

1. Open Yahoo Mail on the web.
2. Click the **gear icon** (⚙️), then **"More Settings"**.
3. Go to **"Filters"**.
4. Click **"Add new filters"**.
5. Set the condition (e.g. "From contains school@example.org").
6. Set the action to **"Forward to"** and enter your Alice address.
7. Save.

If your provider doesn't support automatic forwarding, you can still **manually forward** messages to Alice — just tap "Forward" when you receive a school email, and send it to your family's Alice address.

Question 18

Can I forward only certain senders instead of everything?

Accepted Answer

Yes — and we **recommend** this approach. Rather than forwarding your entire inbox to Alice, set up filters or rules to forward only messages from **specific senders** you trust, like:

- Your child's school or class teacher
- After-school clubs
- Sports teams or music groups
- Your dentist or GP surgery

This way, Alice only sees what's relevant to your family, and your inbox stays private. Every email provider supports this (see the guides above for Gmail, Outlook, iCloud and Yahoo).

You can always add more senders later by creating additional filters.

Question 19

I forwarded an email but nothing happened. What should I check?

Accepted Answer

If you've forwarded an email to Alice but it hasn't appeared in your MeetAlice app, try these steps:

1. **Check you forwarded to the right address**: open the MeetAlice app, go to the **Family** tab, and confirm your family address (e.g. yourfamily@meetalice.io). Make sure you didn't mistype it.

2. **Check your email provider sent it**: look in your "Sent" folder to confirm the forwarded message left your inbox.

3. **Wait a minute or two**: it can take a moment for Alice to receive and process a message.

4. **Check for a "new sender" notification**: if this is the first time you've forwarded from this sender, Alice may be holding it and asking you to approve the sender. Check your MeetAlice app for a notification or check the **Inbox** tab.

5. **Make sure the message contained something Alice can extract**: if the email was just an image or had no dates or event details, Alice may have filed it but not created any events. Check your Inbox to see if it arrived.

If none of that helps, drop us a line at [support@quidvista.com](mailto:support@quidvista.com) and we'll investigate.

Question 20

Why don't you just connect to my existing email account?

Accepted Answer

We deliberately **don't ask for access to your email account** — no password, no OAuth connection, no mailbox access. Here's why:

- **You stay in control**: you choose exactly what Alice gets. You forward the messages you want her to read — school emails, club letters — and your personal or work emails stay private.
- **No whole-inbox access**: we never see your entire inbox, and we never have to store your email password or credentials.
- **You can stop anytime**: if you want to stop using MeetAlice, just stop forwarding. There's no connection to revoke or app to disconnect — you simply stop sending messages.

This approach gives you **complete control** over what Alice sees, and it means your privacy is protected by design.

Question 21

Is meetAlice GDPR compliant? Who is the data controller?

Accepted Answer

Yes, MeetAlice is compliant with the **UK GDPR** and the **Data Protection Act 2018**.

The **data controller** is:

**QUIDVISTA LTD**
Company number: **12974698**
Registered office: **Mercury Hub, 2 Linden Road, Clevedon, England, BS21 7SN**

QuidVista Ltd operates MeetAlice and is responsible for how your family's information is collected, used and protected.

You can read our full Privacy Policy at [meetalice.io/privacy](/privacy/) or contact us at [privacy@meetalice.io](mailto:privacy@meetalice.io).

Question 22

Where is my data stored?

Accepted Answer

Your family's data is stored in the **United Kingdom**, on **Amazon Web Services (AWS)** infrastructure.

We use AWS hosting, databases and storage services, all hosted in UK-based data centres. Some of our service providers (such as our AI provider, OpenAI) may process data outside the UK, but we use appropriate safeguards (such as the UK International Data Transfer Agreement) to ensure your information remains protected.

For more detail, see our [Privacy Policy](/privacy/).

Question 23

Is my data used to train AI models?

Accepted Answer

No. MeetAlice uses **OpenAI** to parse the emails and messages you forward and extract events, deadlines and to-dos. Your content is sent to OpenAI for that purpose only — it is processed, the structured information is returned to us, and then:

- Your data is **kept private** and is **not used to train OpenAI's models** for their own purposes.
- OpenAI's zero-retention policy for API customers applies.

Your family's information is used solely to provide the MeetAlice service to you, and it is never sold or shared for advertising or model training.

Question 24

Who can see my family's information?

Accepted Answer

Only **the members of your family** (the people you've invited) can see your family's calendar, events, reminders and shared information.

Your data is private to your family. We (the MeetAlice team) can only access it in limited circumstances — for example to provide support if you contact us with a problem, or to debug an issue you report. We will never look at your data without a reason, and we have strict internal access controls.

We do **not** sell or share your information with third parties for advertising or marketing. The only third parties who process your data are the service providers who help us run MeetAlice (such as our cloud hosting and AI providers), and they do so under contract and only on our instructions.

For the full details, see our [Privacy Policy](/privacy/).

Question 25

How long do you keep my emails and attachments?

Accepted Answer

We keep your family's information — including forwarded emails, attachments, events and reminders — for **as long as the family is active**.

If you delete specific content (for example an event), we hide it from the live app.

If you **remove your account** and other adults remain, the family diary stays. Your sign-in is removed and your contributions show as **Former member**. If you are the **last adult**, the whole family is removed. Hidden copies are permanently erased within **90 days**. Backup copies follow our standard AWS RDS backup retention window.

This is set out in our [Privacy Policy](/privacy/).

Question 26

How do I download my data or delete my account?

Accepted Answer

You have the right to:

- **Access a copy of your data** (also known as a "data subject access request")
- **Download your data** in a portable format
- **Delete your account** and all your family's information

### To download your data or request a copy

Email us at [privacy@meetalice.io](mailto:privacy@meetalice.io) and we'll provide it within the timeframe required by UK GDPR (usually within one month).

### To delete your account

1. Open the MeetAlice app and go to the **Family** tab.
2. Tap **your own profile**.
3. Tap **Remove account**.
4. Type **DELETE** to confirm. If you are the last adult, this completely removes the family.

You can also use our public [delete-account](/delete-account/) page (required by Google Play), or email [privacy@meetalice.io](mailto:privacy@meetalice.io).

To remove another adult, open **their** profile and tap **Remove from Family**. They lose access immediately; their diary contributions stay as **Former member**.

After you remove your account you can sign up again with the same email — that creates a **new family**. Hidden copies of the old account are erased within 90 days.

Question 27

How do I contact you about privacy or make a complaint (ICO)?

Accepted Answer

For any privacy questions or requests (access, deletion, correction, objection), contact us at:

**[privacy@meetalice.io](mailto:privacy@meetalice.io)**

Or write to:

**QUIDVISTA LTD** (operating MeetAlice)
Mercury Hub, 2 Linden Road, Clevedon, England, BS21 7SN
Company registration no. 12974698

We'll respond within the time limits required by UK GDPR (usually within one month).

### Making a complaint to the ICO

If you're unhappy with how we've handled your data, you have the right to complain to the **Information Commissioner's Office (ICO)**:

**Website**: [ico.org.uk](https://ico.org.uk)
**Helpline**: 0303 123 1113

We'd appreciate the chance to put things right first, but you can contact the ICO at any time.

Question 28

I've changed phones. How do I sign back in?

Accepted Answer

To sign in to MeetAlice on a new phone:

1. Download the **MeetAlice app** from the **App Store** (iPhone) or **Google Play** (Android).
2. Open the app and tap **"Sign in"**.
3. Choose the same sign-in method you used before:
   - **Sign in with Apple**, or
   - **Sign in with Google**
4. Once signed in, you'll see your family's calendar and everything will be back as it was.

Your family's data is stored in the cloud, so it will sync to your new phone automatically.

Question 29

I'm not getting invite or notification emails. What can I do?

Accepted Answer

If you're not receiving emails from MeetAlice (for example a family invite or a welcome email), try these steps:

1. **Check your spam or junk folder** — sometimes emails from new senders are filtered. Look for messages from **noreply@meetalice.io**.

2. **Check the email address is correct**: if someone sent you a family invite, make sure they entered your email address correctly.

3. **Wait a few minutes**: emails can take a moment to arrive, especially if your provider has delays.

4. **Add noreply@meetalice.io to your contacts**: this can help make sure future messages land in your inbox.

If you're still not receiving emails after trying the above, contact us at [support@quidvista.com](mailto:support@quidvista.com) and we'll help.

Question 30

How do I contact support?

Accepted Answer

If you need help, have a question, or want to report a problem, get in touch at:

**[support@quidvista.com](mailto:support@quidvista.com)**

We'll get back to you as soon as we can — usually within one working day.

For privacy-specific questions (data access, deletion, complaints), contact:

**[privacy@meetalice.io](mailto:privacy@meetalice.io)**
