Privacy Policy

Last updated: 26 October 2026

MeetAlice helps busy families stay organised by reading the emails and messages you forward to us and turning them into a calm, shared plan. To do that, you trust us with some of the most personal information there is — about you, your children and your family life. This policy explains what we collect, why, who we share it with, and the control you have. We’ve tried to write it in plain English.

1Who we are

MeetAlice (“MeetAlice”, “we”, “us”, “our”) is a service operated by QuidVista Ltd. For the information described in this policy, QuidVista Ltd is the “data controller” under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

You can reach us at privacy@meetalice.io. Our registered contact details are set out at the end of this policy. For common questions, see our FAQ.

2Scope of this policy

This policy covers:

  • the MeetAlice mobile app;
  • the email address we give your family for forwarding (your “family address”);
  • this website; and
  • the emails and notifications we send you.

It does not cover third-party services you use to reach us — for example, your own email provider or a school’s messaging platform. Those have their own privacy policies.

3The information we collect

Information you give us

  • Account details — your name, the email address you sign in with, and your sign-in method (Sign in with Apple or Sign in with Google), so we can create and secure your account and your family.
  • Family set-up — your family name, your chosen family address, the members you add and how you label them.

Content you forward to us

When you forward — or set up auto-forwarding of — emails and messages to your family address, we receive and store the full content of those messages, including their subject, body, sender and recipient details, timestamps and any attachments (such as letters, permission slips, photos or PDFs). Because these are your everyday family communications, they may contain information about your children, other family members and third parties (for example teachers, clubs or other parents).

Information Alice derives

To make forwarded content useful, our system extracts and stores structured information from it, such as:

  • events, dates, deadlines and payment reminders;
  • “what to bring” and to-do items;
  • the people and pets mentioned, and durable facts about them that help us organise your family (for example a child’s school, club, dietary need or interest); and
  • a summary of what we did with each message.

Technical and usage information

  • Device & notification data — a push-notification token, device type and your time zone, so we can send reminders at the right moment.
  • Log and diagnostic data — such as IP address, app version, and error logs, collected to keep the service secure and working.

4Sensitive information & information about others

Please read this section carefully.

The messages you forward may contain special category data — for example information about health, medical needs, dietary or religious requirements — and information about other people, including children and third parties.

We do not ask for this information, but we process whatever is contained in what you choose to send us, so that we can provide the service you’ve asked for. Where the content includes special category data, we rely on your explicit consent, given by choosing to forward that content to us, and you can withdraw it at any time by deleting the content or your account (see Your rights).

When you forward information about other people, you confirm that you are entitled to share it with us for this purpose. If you are a parent or guardian, you provide information about your child on their behalf. Please only forward what’s necessary.

5How and why we use your information

We use your information for the purposes and lawful bases below.

What we doWhyLawful basis (UK GDPR)

Send you a welcome and essential service emailsTo help you get set up and keep you informedPerformance of a contract; legitimate interests
Keep the service safe, reliable and free from abuse; debug problemsSecurity and reliabilityLegitimate interests
Comply with our legal obligations and respond to lawful requestsBecause we have toLegal obligation

Where we rely on legitimate interests, we’ve considered your rights and expectations and only use your data in ways you’d reasonably expect. You can object to this — see Your rights.

6AI and automated processing

To turn messages into events, reminders and summaries, we use automated processing, including a third-party AI provider (see Who we share information with). The content you forward is sent to that provider solely to extract this information and return it to us.

This processing is not used to make decisions that have legal or similarly significant effects on you. Alice is an assistant: she can make mistakes, miss things or misread them, so you should always check anything important yourself. We do not use your family’s content to train third-party AI models for their own purposes.

7Who we share information with

We do not sell your information, and we do not share it for advertising. We share it only with the service providers (“processors”) who help us run MeetAlice, under contracts that require them to protect it and use it only on our instructions:

ProviderWhat they help with
Amazon Web Services (AWS)Cloud hosting, storage, databases, and Cognito authentication for email and password sign-in (hosted in the UK / Europe, eu-west-2)
OpenAIAI processing to extract events, reminders and summaries from your content
Twilio SendGridSending transactional emails such as your welcome email
ExpoDelivering push notifications to your device
AppleSign in with Apple authentication (where you choose it)
GoogleSign in with Google authentication (where you choose it)

We may also disclose information if required by law, to protect our rights or the safety of others, or as part of a business sale or reorganisation (in which case this policy continues to apply).

8International transfers

We host your data in the UK / European region. Some of our providers (for example our AI and email providers) may process data outside the UK, including in the United States. Where that happens, we rely on appropriate safeguards — such as the UK International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses — so your information continues to be protected. You can ask us for more detail.

9How long we keep information

We keep your information for as long as your account is active and you use the service.

To remove your own account in the app, open Family, tap your profile, then Remove account. To remove another adult, open their profile and tap Remove from Family. You can also use our public delete-account page.

  • If other adults remain, their shared diary stays. Only your account, sign-in identities, devices, notification preferences and personal details are removed. Content you added is shown as Former member — without your name, email or photo.
  • If you are the last adult and you remove your account, we remove the whole family (including the family address and diary) from live systems.
  • Soft-deleted accounts and family data are permanently erased within 90 days, including files stored with us. Automated AWS RDS backups follow our standard backup retention window.

We may keep limited information for longer where we need to for legal, security or accounting reasons (for example a record that an account was deleted).

10How we protect your information

We take security seriously. Measures include encryption of data in transit and at rest, access controls that limit who can see your data, private networking for our databases, and ongoing monitoring. No system is perfectly secure, but we work to protect your information and to meet our legal obligations if something goes wrong.

11Your rights

Under UK GDPR you have the right to:

  • be informed about how we use your data (this policy);
  • access a copy of your data;
  • have inaccurate data corrected;
  • have your data erased (“the right to be forgotten”);
  • restrict or object to certain processing;
  • data portability — receive your data in a portable format;
  • withdraw consent at any time, where we rely on it; and
  • not be subject to solely automated decisions with legal or similarly significant effects.

To erase your account, use Family → your profile → Remove account in the app, or our delete-account page. For other rights, email privacy@meetalice.io. We’ll respond within the time limits the law requires. Exercising your rights is free, and it won’t affect your ability to use the service (except where the data is essential to provide it).

If you’re unhappy with how we’ve handled your data, you can complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk. We’d appreciate the chance to put things right first.

12Children’s information

MeetAlice is a tool for parents and guardians. It is not directed at children, and children do not create accounts or use the app themselves. You must be 18 or over to use MeetAlice.

Because MeetAlice organises family life, the information you forward will often relate to your children. We process that information on your instruction, as their parent or guardian, only to provide the service to you, and we protect it with the same care as any other personal data. You can access, correct or delete it at any time through the app or by contacting us.

13Cookies and analytics

This website is intentionally lightweight. We do not use advertising cookies or cross-site tracking. If we introduce analytics to understand how the site is used, we’ll use privacy-respecting measurement and update this policy first. The app stores what’s needed to keep you signed in and to remember your settings on your device.

14Changes to this policy

We may update this policy as the service evolves or the law changes. We’ll revise the “last updated” date above and, for significant changes, let you know in the app or by email. Continuing to use MeetAlice after a change means you accept the updated policy.
